CRM mapping
Map the report link into a custom field on the contact record, not into notes. Your reps need it one click away at dial time, and notes fields get truncated in list views.
Deduplication
Dedupe on verified phone, not email. Veterans frequently submit a different email address on a second visit while keeping the same number. Email-based dedupe will create duplicate records; phone-based dedupe will not.
Timezones
Exports are UTC. Convert on import or every “they filled this out at 3am” conversation will be wrong.
